Position: World Parking Symposium Administrator (Part time casual)
The Canadian Parking Foundation is a not for profit volunteer group that is affiliated with the Canadian Parking Association and has an interest in advancing research and knowledge in the field of urban parking, transportation, and mobility. We are seeking an administrator for our biennial World Parking and Transportation Symposium, which is held every two years at a hotel or university venue somewhere in the world. The symposium has been an educational fixture for the industry since 1995. The upcoming conference will be held in Canada in late June or early July 2020.
This is not a full time job, historically it would consume about an hour every two weeks, and then full time commitment involving travel for about 3 weeks straddling the conference dates. We ask our administrator to attend and “stage manage” the conference ensuring all registrants are seated, paperwork is done, food is delivered, electronics are working, and social events are attended. There is a bit of time required for clean-up administration and check out, thank you letters and gifts, after the conference.
In the past, the symposium has travelled to Scotland, Germany, the USA, Netherlands, Israel, and several cities in Canada. Previous administrators have combined conference travel with personal time to make for an interesting vacation.
A strong experience profile in orchestrating academic conferences in distant locations is required. While it is advantageous if the administrator understands the generalities of urban parking and transportation, it is not a necessary skill.
The administrator will be expected to show leadership in growing attendance and support for the conference year over year. We believe that a minimum of 20% biennial attendance growth is possible, and the successful candidate will submit a 2 year plan detailing how the required growth will be achieved. Following from this, the administrator will be accountable for achieving the planned targets.
This is a contract or project position and may be suited to an individual or self-employed full or part time worker, or to a professional organization with the required skill set to address our specific needs.
Prepare and maintain a 2 year progressive growth strategy for the symposium.
Administer the web site www.worldparkingsymposium.ca and ensure all content is up to date, and prepare content documentation as needed. Post Call for Papers. Develop content and electronic web presence (ie podcasts)
Prepare a speakers agenda (bios and schedule)
Facilitate inquiry and confirmation correspondence to selected speakers.
Keep track of the symposium organization and agenda and prompt volunteer board members to do tasks if necessary.
Keep notes on completion of tasks for CPF records
Make arrangements for guest rooms and speaking venues with hotels or colleges as directed by the CPF Symposium Committee. Make arrangements for formal dinners and entertainment where approved by the CPF Committee. Facilitate contracts and payments with CPF funds where necessary
Manage delegate registration process on line and in person at the conference. Resolve any delegate accommodation issues.
Organize room electronics so as to amplify and record each presenter in a manner suitable for replay on-line via the web site after the conference.
Prepare a budget for the conference; match receipts to expenses to budget following the conference for CPF accountant to review.
Post conference presentations to the web site after the conference
Time roughly 4 hours per week.
Three weeks of roughly 8-12 hour days, during the conference period.
